We are looking for a highly organized and proactive Executive Assistant & Office Manager (m/f/d) to support our founders and help keep our daily operations running smoothly. This role is ideal for someone who enjoys multitasking, staying organized, and being the go-to person for administrative and operational support.
Job responsibilities:
- Support the founders with day-to-day administrative tasks
- Collect and organize invoices and financial documents
- Schedule and coordiniate meetings and appointments
- Monitor operational queues during important deadlines
- Manage and organize shared mailboxes and incoming communications
- Book business travel, accommodations and itineraries
- Ensure the office is running smoothly (eg supply inventory, handle incoming and outgoing mail and postal services)
- Maintaining the office (eg, coordinating regular cleaning sessions and on-demand office arrangments along with system monitoring and repairs)
- Organization of team lunches, dinners and other events
- Purchase and manage office supplies, snacks, drinks, and other office essentials
